Privacy Policy

Last updated: 15 March 2026

Your Physique Coach (“we”, “us”, “our”) is committed to protecting and respecting your privacy. This policy explains what personal data we collect, why we collect it, how we use it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Data We Collect

We collect personal data only when you actively provide it or when it is necessary to deliver our services:

  • Enquiry form — name, email, phone (optional), age range, training experience, goals, biggest struggle, and how you heard about us.
  • Email capture — email address when you opt in to receive free resources or updates.
  • Authentication — when you sign in to the private coaching vault, your account data (name, email) is managed by our authentication provider, Clerk.
  • Coaching platform — training data, body metrics, and progress photos submitted through Trainerize are governed by Trainerize's own privacy policy.

2. How We Use Your Data

  • To respond to enquiries and provide coaching services.
  • To send you coaching-related communications, check-ins, and programme updates.
  • To deliver free resources you opted in to receive (e.g. guides, PDFs).
  • To authenticate you when accessing the private client vault.
  • To improve our website and services based on aggregated, anonymised usage patterns.

We will never sell, rent, or share your personal data with third parties for marketing purposes.

3. Third-Party Services

We use a small number of trusted third-party services to operate the site and deliver coaching:

4. Cookies

We use only essential cookies required for authentication (Clerk session cookies). We do not use advertising cookies, tracking pixels, or third-party analytics cookies. No cookie consent banner is required because we do not use non-essential cookies.

5. Data Retention

Enquiry form submissions are retained for up to 12 months and then deleted. Coaching client data is retained for the duration of the coaching relationship and for up to 6 months after it ends, unless you request earlier deletion. Email opt-in data is retained until you unsubscribe.

6. Your Rights (UK GDPR)

Under UK data protection law, you have the following rights:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — request correction of inaccurate data.
  • Erasure — request deletion of your data (“right to be forgotten”).
  • Restriction — request that we limit how we use your data.
  • Portability — request a machine-readable copy of your data.
  • Objection — object to processing based on legitimate interests.

To exercise any of these rights, email us at the address below. We will respond within 30 days.

7. Data Security

We take reasonable technical and organisational measures to protect your data. All data transmitted to and from our website is encrypted via HTTPS/TLS. Authentication credentials are managed securely by Clerk and are never stored on our servers directly.

8. Children

Our services are not directed at individuals under 18. We do not knowingly collect data from anyone under 18 years of age.

9. Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated “last updated” date. We encourage you to review this page periodically.
